Custom systems
A CRM and internal system that fits the way you work
When off-the-shelf software forces your team to work around it, we build the system around your process: enquiries, quotes, orders, tasks and customer history in one place, connected to your ERP, email and accounting.
We build in phases: a first working phase, then expansion.
- 30–45 minute call
- your process on your own screen
- written assessment afterwards
- Customer history found
- Task for the owner
- Prices from the ERP
What we build
What we can build
- Sales and enquiry managementfrom enquiry to order in one place
- Customer portalorder status, documents and invoices for your customers
- Supplier portalrequests, quotes and deliveries
- Internal toolstasks, approvals and reports for your team
- IntegrationsERP, email, accounting and online store
- Automationrepetitive steps happen on their own
In practice
The whole customer history in one place
An email becomes a contact, the contact becomes a deal, and the next steps become tasks for your team. Nothing is re-typed from the inbox into a spreadsheet.
- An email enquiry creates the customer record
- Deals move through your own stages
- Reminders and tasks are created automatically

The system changes as your processes change
The system is shaped around your process, not the other way round: we build only what you need and connect it to the software you already use.
Your software
Connected to what you already use
The new system doesn’t replace your ERP: it reads and writes data through the API, so accounting and the warehouse stay where they are.
We use business-grade APIs that don’t train models on your data, and for sensitive processes the system can run on your own or an EU server. Data processing is agreed in the contract.

Who it’s for
When it makes economic sense
For companies where an off-the-shelf CRM is too narrow or too broad, and the work happens in spreadsheets, emails and several applications at once.
Economics decide: the value recovered in a year has to clearly exceed the cost of the system.
If a standard CRM with a few integrations is enough, we’ll tell you in writing and help you connect it.
Questions
What to know about custom CRM development
- How is a custom CRM different from Pipedrive or HubSpot?
- An off-the-shelf CRM gives you a ready-made structure your team adapts to. A custom system is built around your process: only the fields, statuses and approvals you need, connected to your ERP, email and accounting. If a standard CRM with a few integrations is enough, we’ll tell you in writing.
- How long does it take to build a CRM?
- We build in phases. The first working phase is usually planned for 6–10 weeks, and the system then grows based on what works in practice.
- Can we move data from spreadsheets or our current software?
- Yes. Moving customers, orders and history is agreed during the process review and included in the proposal.
- Will it work with our ERP and email?
- Yes. We connect the system to the software you already use – ERP, accounting, email or online store – through their API or import.
- Where do we start, and what does it cost?
- We start with a 30–45 minute process review: you show how your team works today and get a written assessment. The price is fixed after the review and proposal.
- Who owns the system and the data?
- Your data always remains yours. The solution and configuration built for you are delivered as set out in the project agreement. We keep the generic components, templates and know-how we reuse across projects.
